Lists |

What are Lists?

These are a collection of different user groups to let them know what type of communication they are getting from you.


1. When creating a list, there are 3-ways to categorize your leads/contacts inside this email creator(known in this review as GrooveMail ).

  • Lists & Segments,
  • Tags and
  • Categories


2. Why do I need a list? - The sole purpose of a list is to manage your subscriptions.


3. How many lists do I need?- As many as you can, the more lists the better. Having a list of the type of communications being sent will let your users know when they click on the manage your subscriptions link the number of lists they are subscribed to and the kind of information they will receive from each list.


4. What are the naming conventions? When naming lists, make sure they are benefit-rich names so, instead of Groove customers it could be Groove customer announcements and straight away you will see that there is a benefit to adding the word "announcements". So, a good naming convention would be a list of topics, lists of activities, etc.


5. Descriptions - You want to create a list such that, when contacts see that they are a part of that list, it's something they want to be a part of. So give it an enticing title.


6. Coming soon*: Descriptions and Categories- These are an organization mechanism for you internally. For your internal descriptions, it is a great idea to put your reasons why you did certain things. For instance, a couple of months down the line you might forget and start scratching your head trying to figure out -who did I add to this list? why did I add them? what was this list for? what information are they getting I find internal descriptions are a great place to put little reminders for yourself.


External descriptions are what you can give the subscriber upon landing on that manage your subscription page, they will see not only the name of the list but also maybe a sentence about the types of email content that they will receive on that list.


That goes a long way toward helping your users choose what information they want to receive from you and how frequently they want to hear from you. Therefore, your list description might say something like, "you can expect to see three emails a week on this topic " or "this list subscribed you to a sequence of 40 different tips that will arrive every weekday " for example. All of that are ways that you can further communicate and help provide a specialized customer experience for your members.


Suppressions |

What are Suppressions?

This review states that these are very specific types of lists. With suppression, you repress contacts that you don't mail when you email. This email creator/GrooveMail automatically keeps a couple of different types of suppression lists for you. That include:


1. Unsubscribe lists

- will have a list of every contact/lead that has unsubscribed from any email list. And an icon indicating whether or not its a global unsubscribe or just a specific list-unsubscribe


2. Complainers

- Serial complainers do no one any good they hurt the entire email marketing community.


3. Suppressions

There are a couple of different types of suppression that are at the individual level.


Email

- You can suppress specific email addresses


Domains

- You can put an entire domain on a suppression list so, let us say you don't want your competitors getting your email. You can type in no competitor .com into your domain suppression list and then you will not get any emails to form that domain. At all. so if you get any spammy comments/emails, complaints, or harassment from a particular domain, you can just suppress the entire domain.


TLDs (Top-Level-Domain)

- You can suppress an entire top-level domain. This then means that if you don't want anyone with a .edu email address to get an email from you. you can do that. Some TLDs include .com., .NET, and .org. so you can suppress that entire extension if you wanted to(Not Recommended).


Leads |

What are leads/contacts?

You'll also see in the email creator/GrooveMail that you have leads also known as contacts. Everyone who is on this leads/contact list. And you have two ways to add and manage leads. You can upload a CVS file or add manually a person as a contact.


This review notes that Coming soon to the email creator is a contact activity tracker where you will be able to get their email, their contact information, see all of the tags that they have applied to them, the lists that they are on, and any automation that they are in, currently, any sequences that they are a part of and see all of their activity.

You can track every single step a contact is making in your account. It is really good to be able to understand what your user is experiencing it helps you communicate with them better and more effectively as opined in this review.

What are the different contacts' Statuses?

Verified

- This means that you have sent a confirmation email and they have clicked that link to double opt-in to your list.


Unconfirmed

- This means that you sent that opt-in and that they haven't yet clicked on the link. When contacts are unconfirmed, you won't be able to send them another email until they get confirmed.


Blocklisted

- This means they are blocked from receiving email for any number of reasons. for instance, if the user puts in a junk email address. That email will fail right from the start and that email address will get blocklisted etc.


Contacts Filters and Search

This makes it easier to find your contacts/leads. You can search by any of these types of sequences listed below:

  • Subscribers - Whether or not they are subscribed to a list
  • Tags - Whether or not they have a tag
  • Forms - Whether they filled out a particular form
  • Segments - If they are a part of a segment
  • Sequences - Whether they are in a sequence
  • Opens - Whether they have opened a particular email
  • Clicks - Or click on a link in a particular email status.
  • IP Address - so If you think someone is spamming your list by putting in a lot of fake email addresses and you have a suspicion of who they are, you can search by IP address and see how many different emails came in through that IP address


Tags |

Why use tags?


In some respects it's the same as the list in that, it is a way to identify a group of contacts. The beautiful thing about tags is while lists are for your subscriber, a tag is for you. This review suggests that a subscriber cannot un-tag themselves. So when you apply a tag, it stays and gives you the information you need to know exactly the customer path.


What are tags?

A tag will help you organize, sort, and get information about your contacts that can't be impacted by them unsubscribing from a sequence or you removing a list. That tag is there for your benefit. I find it helpful to have naming conventions for tags. eg. a refund tag, a buyer tag, etc.


What Are Categories?

Categories are folders that you create on your own and can be considered brands, projects, promotions, or funnels. If you want to organize all the information about one thing in one place, you can do that with your categories. It's good practice to categorize tags by the specific product and then within that have a naming convention for tags.


Coming soon* is disappearing tags in this review notes. Very often you only going to have a tag be relevant for a short period. You can ask yourself how long will I need this information and let your tag expire at the end of that time. Incidentally, Tags in conjunction with automation are the things that power stuff on and off within the email creator. Keeping your database clean and your search faster and easy.


Segments |

What are Segments?

These are dynamic searches. So you create a segment to filter and exclude contacts/leads and figure out a specific group of people you are looking for. A segment, for instance, might be everyone who has purchased product A and product B. It is an always-updated and always-current search for you.


The hardest thing about segments is understanding the logic. How exactly do I have to ask for everyone who bought product A and product B but not product C or product D. Those kinds of things might require you to not only create one segment but to combine multiple segments to get a new segment that is exactly what you are looking for. All this is possible with GrooveMail.

Sender Settings

This is one of the most crucial parts of setting up your email to get ready to start sending emails.

Why Is Your Email Sender Important?

Email sender - Your email sender is so important that:

  • You cannot use FREE email addresses like yahoo, Gmail, Outlook, etc.
  • No roles - Never create an email from, Info@, Support@, etc. You want to use your real name or any other name that is not a role.
  • Brackets and emojis - It is common and you will increase your open rates if you use brackets and even emojis in your email sender name. It is an easy way to brand yourself. A bracket can be used to give someone context.
  • Form and Reply to - Very often you will see at the bottom of the email please don't reply to this email it is not a monitored inbox. When you choose a reply to an email address, it is highly recommended its to the same emailing address that the "from" is coming from and that it is a real email address that is monitored by a real person. Not only will this increase your deliverability you will get in-boxed more because ESPs (Email Service Providers) will see two-way communication in your email.


As a sender, you should train your subscribers to create a folder for your communications, train them to click on a link, and train them to hit reply and speak with someone at your office.

What are broadcasts?

-Broadcasts are single-time communications. A broadcast is one email that is going to go out one time to a whole group of people at the same time. Broadcasts can be:

  • Email
  • Voice
  • SMS

-You can send to segments, lists, or tags

-The most important part of your broadcast message after the sender, is your subject line. Your subject line should be interesting, juicy, and attention-grabbing and the sole purpose of the subject line is to get someone to open the email. It is all about having a subject line that has a benefit in it or creates curiosity or gets someone very interested in the contents of the email.


-It's recommended that every email that you send has an image in it. Images are powerful. Some say they are worth a thousand words.
